Privacy notice

This notice explains what happens to the information you give us when you ask for a quote, and what this website records while you use it.

Who we are

Volairis Ltd, a company registered in England and Wales (company number 09488748), with its registered office at 29 Wimpole Street, London W1G 8GP, is responsible for your personal information (the "data controller"). You can reach us on 020 8088 9102 or at charter@volairis.com.

What we collect

When you ask for a quote, we record:

  • your name, email address and phone number;
  • your trip: where from and to, dates and times, number of passengers, any pets and what you tell us about them;
  • anything you write in the notes box;
  • the page you sent the request from, and how you first found us: the page you arrived on, the website that sent you (for example a search engine), and any campaign or partner code in the link you followed;
  • the type of browser and device you used, as your browser reports it.

Please don't put health details in the notes unless we need them to arrange your flight, such as wheelchair assistance. Nothing on this website asks for payment card, passport or date-of-birth details; if a booking goes ahead, we or the operator ask for what the flight needs at that point.

Why we use it, and on what basis

  • To answer your request and quote your trip. We do this because it is in our legitimate interest to answer an enquiry you chose to send us. You can object at any time, and we will stop.
  • If you book, to arrange your flight under our contract with you.
  • To keep the booking and accounting records the law requires.
  • To understand which pages, searches and partners bring us enquiries, so we can improve the website. This uses the "how you found us" details above and, if you agree, how the website is used (see below).

No software profiles you or decides what you are quoted: a person reads your enquiry and answers it.

Who else sees it

We are a broker and do not own or operate aircraft, so to quote and arrange your flight we share what the trip needs with aircraft operators and, where relevant, airports and handling agents. Some of them are outside the UK, because a flight abroad is arranged with people who can fly there. We do not sell your information or share it with anyone for their own marketing.

These companies handle your information for us, on our instructions:

  • Vercel, which hosts this website. The part that receives your request runs in London.
  • Supabase, which stores the enquiries, in London.
  • Resend, which sends us your request by email and sends you a confirmation.
  • Google, which provides our email (charter@volairis.com), where your request and our replies are kept.
  • PostHog, which shows us how the website is used, in the EU (Frankfurt), only if you agree.

Vercel, Resend and Google are US companies and may process information outside the UK. Where that happens we rely on the safeguards UK data protection law provides for it.

Emails we send you

When you send a request, we email you one confirmation of the details you gave us. Replies come to our team. We don't send marketing emails.

How long we keep it

An enquiry that doesn't become a booking is deleted 2 years after it reaches us: automatically from our enquiry system, and by us from our mailbox. If you book, we keep the booking records for 6 years from the end of the financial year they relate to, as UK company law requires. If our website ever cannot deliver your request, a copy is written to our host's error log so that it isn't lost; we use it only to recover the request.

Your browser and your location

This website does not use advertising cookies. If you agree, two things happen. First, it keeps a small record in your browser of how you first arrived: the page, the website that sent you and any campaign or partner code. It stays in your browser and is sent to us only if you submit a request. Second, PostHog sets cookies so we can see how the website is used: which pages you visit, where you click and how far you scroll, and a replay of your visit. Anything you type is hidden before it leaves your browser, your internet address is not kept, and we don't know who you are. Replays are deleted after 30 days. We use this only to make the website easier to use.

If you decline, none of this happens, and the website and quote form work exactly the same. Your browser also remembers your answer, so we don't ask on every page.

We also count visits using our host's own analytics, which uses no cookies and cannot tell who you are. It shows us totals: which pages are read, which websites send visitors, the country and type of device, how quickly pages load, and how often someone taps to call, email or send a request. We use it only to improve the website.

To suggest your nearest airports and show flying times from the closest city, the website uses the approximate location (town or city) that our host works out from your internet address. It is used only to fill in those suggestions, is not stored, and you can always change the airport.

Your rights

Under UK data protection law you can ask us for a copy of the information we hold about you, and ask us to correct it, delete it, limit how we use it, or stop using it. You don't need to give a reason or use any particular wording; contact us on 020 8088 9102 or at charter@volairis.com and we will answer within one month. We may not be able to delete booking records the law requires us to keep.

If you are unhappy with how we have handled your information, please tell us first so we can put it right. You can also complain to the Information Commissioner's Office at ico.org.uk.
